Sales Automation & CRM in Leiden
Why here
A CRM built around companies and deals fits badly on a customer consisting of three departments and four research lines. In Leiden life sciences the usable unit is the project or the study: several contacts inside the same institute hang off it, documents that keep returning — a quotation, a validation protocol, a declaration of origin or compliance — and equipment that is sometimes out on evaluation. We model that explicitly, including the term of an evaluation and the origin of every request. The person matters even more: researchers move between institutes, and that person is your relationship, not the address where they worked last year. The system has to follow that. On the trade and installation side of the city something else applies: there, automated quote follow-up recovers the most time.
No list of offices — just honesty: we work remote-first and come on-site where it truly matters, by plane if that is what it takes. Travel costs are charged on.
Our approach
A request travels a route today with documents that keep accompanying it; that route gets drawn out. That produces a data model holding projects, people and institutes as separate records. In the first weeks the configuration is standing and you click through it; then we connect mailbox, calendar and your quoting flow, so an issued quote automatically gets a follow-up task on a timescale that suits evaluations.
Frequently asked questions
-
Our contact moves to a different institute. Where does his history end up?
That should be a move, not a new record. We store people independently of organisations, with a history of where somebody worked and which projects they ran there. When they surface elsewhere, you see the earlier collaboration straight away. In this field that is worth more than most company data, because the relationship hangs on the person and not on the letterhead.
-
We place equipment with a customer for evaluation first. Can the CRM hold that?
Yes, as a separate object with its own status and end date. You want to see which unit is where, since when, with which contact, and when the evaluation ends. We attach automatic tasks to it: a mid-term check-in, a reminder for the feedback, and a moment to open the purchase conversation. Without that registration such a unit sits somewhere for months with no decision attached.
