Outbound in Brussels stands or falls on a decision made before the first send: which language does which contact get. A French-speaking manager receiving a Dutch message usually does not reply and remembers the sender, and a translated template gives itself away through its register. So we write a separate sequence per language, with a more formal register in French and a more direct tone in Dutch, plus an English variant for international leadership. The call script follows the same split, including the objections that differ per language group. Timing also works differently here: with organisations that run procedures, the usable window is the preparation before publication. If a procedure is already open, we stay inside what it allows and park the contact on a date after it closes, instead of continuing to call.

Our approach
The list gets split by language and mandate and checked by hand, because this is exactly where source data goes wrong most. Then we write three sequences, not translations, and a call script per language with the objections that genuinely come up there. Before the first message we verify the separate sending domain and the SPF, DKIM and DMARC settings. We schedule the first calling blocks per language and sit in on them, so we hear where the conversation turns.

Can you call and write in French yourselves?
For setting up the sequence and the script we work in whichever language is needed, and where we cannot hold the conversation in that language ourselves, we do not put that role with us. We would rather say that up front than have you discover it in week three. In practice we set up the French-speaking line, have the copy checked by a native speaker, and make sure the calls are made by someone at home in it, from your team or through the selection track we run alongside.

May we approach an institution while a procedure is running there?
Once a contract is published, the room is limited to what the procedure itself allows, which is usually a written question round. Calling to persuade anyway can get you excluded. What is allowed and does work is making contact well before anything is published, and coming back afterwards to ask how it went. We fix those two moments in the planning precisely to avoid the risk in between.
